COLLECTING FEES

Membership fee tracking that runs itself.

In most clubs fees live in a spreadsheet one person maintains, and get collected when somebody remembers to send a message. The outcome is predictable: the month ends and nobody knows exactly how much came in or who has owed since when. Clubiqo raises the charges on its own, records every payment and reminds the people who haven't paid — while you read the collection rate off one screen.

Charges raise themselves

Every month, at the prices you set — per club, per category or per individual player.

Reminders without phone calls

Parents who haven't paid get a push notification; adult members get an SMS from your own phone.

Receipts and invoices

Carrying the club's details, ready to print or send — without separate invoicing software.

The collection rate at hand

Collected, outstanding and the rate for the current month, with revenue by month and category.

A price that isn't the same for everyone

Few clubs have one price. The school pays one, competitors another, siblings pay less, and one child trains free for a reason only the board knows. All of that should be settings, not exceptions somebody keeps in their head.

  • A default price at club level
  • A separate price per category
  • An individual amount or discount per player
  • Schedule a price change from the first of next month
  • The current month is untouched when a price changes
  • Price history, so it is always clear what someone was charged for

A payment recorded in two taps

The parent pays cash at training or transfers to the account. Both are recorded the same way, with a date and an amount, and both are visible to the parent in their app immediately — so there are no "but I paid last week" messages.

  • Cash or bank transfer
  • A full history of every payment with date and method
  • Part payments when someone pays in instalments
  • Receipts and invoices carrying the club's details
  • The parent sees the recorded payment in their app straight away
  • Export the whole record to Excel

Arrears nobody has to chase

This is the part that earns clubs the most in their first month. The debtor list always exists and keeps itself current — and the reminder goes out in one click, only to the people who actually owe.

  • The debtor list for the month you choose, with the amount owed
  • Automatic reminders to parents whose children haven't paid
  • SMS reminders for adult members with no parent account
  • You write the message, and it is kept for next time
  • A record of who was reminded and when, with a "hide reminded" filter
  • No SMS gateway, no subscription, no per-message charge

Beyond fees: kit, entry fees, travel

A club rarely charges for membership alone. Jerseys, a tournament entry, transport and accommodation — kept separately, they leave the parent without a clear picture of what they owe. Here it is one summary.

  • Club products: jerseys, tracksuits, kit, bundles
  • Part payments — each instalment recorded separately
  • Competition costs — entry, travel, accommodation — per player
  • A due date and a view of who has passed it
  • The parent sees fees, purchases and costs in one place
  • Revenue by month and the split across categories

Common questions

Does Clubiqo take card payments on the club's behalf?

No. Clubiqo records collection, it isn't a payment processor — the money goes straight to the club, in cash or to the club's account, exactly as before. The app tracks who is charged, who paid, when and how much, issues receipts and sends reminders. It also means there is no per-transaction commission.

What if the club has already started the month in a spreadsheet?

The existing roster imports from a spreadsheet, so nothing has to be retyped. Charges for the current month are raised at the prices you set, and payments already received are recorded retroactively with their real dates. In practice a club can switch mid-month without a gap in the record.

How do adult members get billed?

Adult members usually have no parent account, so a push notification can't reach them. They get the SMS reminder instead: the app builds the debtor list for the month you choose and opens your phone's messaging app with the numbers and the text you wrote. You send it, from your own number.

Can I see what the club earned last year?

Yes. The dashboard shows revenue by month and the split across categories, and every report exports to Excel. The club can also connect its own Google account so fees, attendance and medical checks are written into spreadsheets in its own Google Drive, daily or weekly.

Do parents see their own payment history?

They do. The parent app carries fees by month with paid and outstanding amounts, club purchases with the amount paid and remaining, and competition costs. Every payment has a date and a method, which removes most of the arguments about money.
