FOR SWIMMING CLUBS
The app for a swimming club. From learn-to-swim to galas.
A swimming club app has to keep up with a rhythm no other sport has: a 6am session before school, squads split by ability rather than age, lanes shared between groups, and galas where every swimmer races for themselves. Clubiqo keeps it all in one place — the coach takes the register at the poolside, parents see attendance and fees in their own app, and every placing from a gala stays on record against the competition.

-
Squads by ability
Learn-to-swim, development, performance, masters — you define the squads, each with its own fee.
-
Replies before early sessions
Parents confirm the night before whether their child is coming, so the coach knows how many swimmers to expect.
-
Galas and placings
Who swam, the place won and a note on the swim, with a congratulation to parents for every medal.
-
A pool on the drill board
Sketch lane plans, direction of swim, starts and turns on a pool background in the web app.
6am sessions, register taken at the poolside
At an early-morning session the coach has wet hands, a whistle and ten minutes before the first squad gets in. So attendance is taken on a phone with one tap per swimmer — or the whole squad at once when everyone's there. If the club switches on session replies, parents answer yes or no the evening before, so you know how many swimmers to expect in the lanes. An absence for a cold is marked as excused, with a reason the parent can see in their app. There is more on how attendance tracking works on its own page.
- One tap per swimmer, or the whole squad at once
- Session replies from parents, if the club turns them on
- Present, absent or excused, with a reason
- A register even when no session is scheduled
- Filter by date, squad and session
- Every entry shows who took the register
Galas, placings and travel costs
Swimming is an individual sport, and the app treats it that way. A gala is set up as a competition: parents of the selected swimmers get an invitation notification and confirm, and afterwards you record for each swimmer whether they swam, the place they won and a note on the race. A first, second or third place sends a congratulation to the parent's phone, and the medal stays in the achievements section of the parent app, with a graphic ready to share on social media. Entry fees, transport and accommodation for an away meet are charged per swimmer — and anyone who didn't swim isn't charged.
- Competitions and camps as distinct event types
- An invitation notification for the selected swimmers' parents
- Swam or not, place won and a note on the swim
- A congratulation to parents for first, second and third place
- Entry, transport, accommodation and other costs per swimmer
- Swimmers who didn't compete aren't charged
Fees and medical checks in a swimming club app
In swimming the fee often depends on the squad and the number of sessions a week, and it changes over the summer. You set a price per squad and can apply a change to a single month — a lower rate for August, say — or from a chosen month onwards. Charges raise themselves, and the club can bill up to 12 months ahead when a family pays for a whole term. Where medical certificates are required, each one carries an expiry date and is flagged as expiring soon 30 days beforehand. If the club allows it, parents send a photo of the certificate for approval. More on athlete medical checks.
- A price per squad, plus a personal rate or discount per swimmer
- A price change for one month only, or from a chosen month onwards
- Bill up to 12 months in advance
- Expiry calculated from the exam date, and editable by hand
- Parents upload a photo of the certificate; the club approves or rejects it
- Expired and expiring checks listed on the dashboard home screen
Masters swimmers, coaches and a pool on the board
Plenty of swimming clubs also have adults — a masters squad or fitness swimmers who pay for themselves and have no parent account. They get SMS fee reminders: the app picks out who owes for the month you choose and opens messages on your phone with each name and amount filled in. If the club tracks coach attendance, coaches are paid per session or as a percentage of fees, and each can see their own sessions and earnings. For planning, the web dashboard has a drill board with a pool background for sketching lane plans, starts and turns.
- SMS reminders from your own phone, with no gateway needed
- Individual messages with name and amount, or a group send
- A marker showing who has already been reminded this month
- Coach pay per session or as a percentage of fees
- Coach permissions limited to the squads they run
- A pool background on the drill board
Common questions
Does Clubiqo record swim times and results?
No. Clubiqo isn't a timing system and doesn't replace official results. For each gala you record who swam, the place they won and a note on the swim, where the coach can write down the time or a comment. That gives you each swimmer's competition history in one place, and the parent gets a congratulation for every medal.
How do I split swimmers into squads by ability?
You define the squads yourself, so they can follow your own pathway: learn-to-swim, development, performance, masters. Each squad has its own fee, and a coach can be limited to the squads they run. When a swimmer moves up, change their squad and future charges follow the new squad's price.
Can parents tell us their child is missing the morning session?
Yes, if the club turns on session replies. For each session the parent answers yes or no in their app and can add a note — a cold, say. The coach knows before reaching the pool how many swimmers to expect. When the absence is marked as excused, the reason stays visible to the parent too.
How do we collect fees from adult swimmers?
Adult swimmers have no parent account, so a push reminder can't reach them. In the mobile app you turn on SMS reminders, choose the month and the app picks out who hasn't paid. The message opens in your phone's messaging app with the number and amount filled in, and goes out on your own plan — Clubiqo doesn't charge for messages. The app also records who was reminded and when.
Can the drill board be used for swimming?
Yes. On the drill board, which is part of the web dashboard, you pick the pool as the background and sketch lane plans, direction of swim, starts or turns. There are no preset formations for swimming — you draw freely, as on the whiteboard by the pool. For dryland work you can switch to the running track or a blank board.
