Clubiqo ("we", "us", "platform") is committed to protecting the privacy of its users. This Privacy Policy describes how we collect, use, store, and protect your personal data when you use the Clubiqo platform, including the mobile application (iOS and Android) and the web dashboard.

By using the Clubiqo platform, you agree to the practices described in this Privacy Policy. If you do not agree with this policy, please do not use our services.

2.1 Account Data

During registration, we collect:

• First and last name
• Email address
• Password (stored in encrypted/hashed form)

2.2 Club Data

When you create a club on the platform, we collect:

• Club name
• Player categories and age groups
• Club settings (schedule, membership fees, notifications)

2.3 Player Data

For each player registered in a club, the following information may be collected:

• Basic information: first name, last name, date of birth, gender
• Contact information: phone number, address, city, postal code
• Education: school name, grade
• Health information: blood type, allergies, previous injuries, medical notes
• Parent/guardian data: first name, last name, parent or guardian contact phone number
• Emergency contact: name and phone number of the emergency contact person
• Photo: player profile picture (optional)

2.4 Attendance Data

• Daily records of player attendance or absence at training sessions
• Coach notes on attendance
• Attendance statistics over time

2.5 Training Data

• Training schedule (date, time, location)
• Categories and groups at training
• Training status (scheduled, completed, cancelled)

2.6 Membership Fee Data

• Membership fee payment status (paid, unpaid, partial)
• Payment method (cash, bank transfer)

• Selected subscription plan
• Subscription status (trial, active, inactive, cancelled)

• Provide and maintain the Clubiqo service

• Synchronize data between the mobile application and the web dashboard

4. Data Storage

Your data is stored on secure cloud infrastructure (Supabase) with encryption in transit (TLS/SSL) and at rest. Images and media content (such as player profile photos) are stored on Digital Ocean Spaces with secure access.

All servers are located in secure data centers with regular data backups and security monitoring.

5. Data Sharing

We do not sell your data to third parties. We share your data only in the following situations:

• Service providers: With technical partners who assist us in providing the service (hosting, data storage, email services), who are contractually obligated to protect your data
• Legal obligations: When we are legally required to disclose data, at the request of a competent government authority
• Within the club: Player data is accessible to club administrators and coaches in accordance with their roles. Parents have access to data relating to their children

6. User Rights

You have the right to:

• Access your personal data that we store
• Correct inaccurate or incomplete data
• Delete your data ("right to be forgotten")
• Transfer your data in a structured format
• Withdraw consent for data processing at any time
• File a complaint with the competent data protection authority

7. Cookies

Clubiqo uses a minimal number of cookies:

• Session cookies: Essential for the functioning of the platform and maintaining your session

8. Data Security

We implement state-of-the-art security measures to protect your data:

• Data encryption in transit (TLS 1.3) and at rest (AES-256)
• Secure token and session storage
• Persistent sessions with a secure renewal mechanism
• Password hashing using modern algorithms

• Data access restricted to authorized personnel only

9. Data Retention

We retain your data as long as your account is active and you use our service. When you deactivate your account, your data is retained for a limited period (up to 30 days) to allow you to reactivate.

When you request account deletion, all your personal data will be permanently deleted within 30 days of the request, except for data we are legally required to retain.

10. Children and Minors

The Clubiqo platform may contain data about players who are minors. This data is collected exclusively by authorized club administrators and coaches, with the consent of parents or guardians.

Parents and guardians have a dedicated role on the platform that allows them to view the data and activities of their children. Parents may request a review, correction, or deletion of their child's data at any time.

We do not knowingly collect data from children under the age of 16 without the consent of a parent or guardian.

11. Policy Changes

We reserve the right to update this Privacy Policy. You will be notified of any significant changes via email or an in-app notification at least 30 days before the changes take effect.

Continued use of the platform after the changes take effect constitutes acceptance of the updated Privacy Policy.
